Data processed, and why

Student names and student numbers, exam paper PDFs, AI-generated grades and feedback, and parent contact emails added to an exam's roster, plus the teacher's own account data (name, email).

Used solely to provide the grading service the teacher has asked for: extracting answers, grading against a rubric, returning results to students and the parents listed on the roster, and handling objections.

Retention and rights

Data is retained until the teacher deletes it, or for up to two years after the teacher's account is closed, whichever comes first.

Students and parents exercise access and erasure rights through the teacher, who controls the data. The teacher can delete an exam and its roster at any time.

Processing terms

The teacher is the data controller for the exams and rosters they create. Gradefeed is the data processor and processes personal data only on the teacher's instructions, for as long as the teacher uses Gradefeed and the retention window above. A teacher accepts these processing terms by confirming the checklist shown the first time they sign in.

Sub-processors and cross-border transfer

Gradefeed relies on a small number of specialist systems for hosting, storage, email, and AI grading.

Before a paper is graded, the header area containing the student's name and ID is masked, so the grading system sees anonymized exam content only, never student identity.

Paper PDFs and rubric content are transmitted abroad during grading — a cross-border transfer the teacher accepts by confirming the checklist above — and are not stored outside Gradefeed's own infrastructure.

The grading system does not use this data to train its models, under its commercial API terms.

Security

Data is encrypted in transit and at rest by the underlying systems.

Acceptable use and warranty

Gradefeed is for grading and returning exams. The teacher must have the right to upload the rosters and papers submitted, and must use the service in compliance with KVKK and applicable law.

AI-generated grades are a drafting aid. AI can make mistakes, so a teacher's review and approval is required before any grade is published.
